Ever found yourself running through a bustling convention centre the size of a small country, clutching a half-full coffee while endlessly trying to find the right meeting room? We get you.
Global events can feel like a high-paced networking jungle. But with the right strategies – and a stellar conference organiser preparing you – the chaos can turn into momentum.
As your autumn schedule is filling up, with Pocket Gamer Connects Helsinki October 7th-8th highlighted as a must, we want to make sure you’re optimally tuned to steer your way around the event.
To that end, here are some key points to help you prepare like a seasoned conference pro.
Pre-event preparation
Make sure you register early. Not only will you benefit from early pricing offers, Helsinki is one of the busiest events in the Pocket Gamer Connects series, so book ticket(s) early to avoid disappointment.
Two weeks before the event, you will get access to the integrated meeting platform MeetToMatch. An email is sent directly from MeetToMatch, entailing your unique log-in information and further instructions. You may need to check your spam folder.
Do note that MeetToMatch requires individual email addresses for each user. If team members are registered using the same email for all of them, the system will automatically reject them.
Users will need to contact our support team (support@pgconnects.com) with the correct details for each person so that the system can be updated and everyone gets access to the platform.
With that done, make a point of scheduling your meetings in advance. Likewise, make sure you reject meeting requests if they are not suitable. The person requesting a meeting can’t request other meetings until the current one is accepted or rejected.
What to bring?
This list could go on, but here are the basics: business cards (or a digital QR code), chargers, pens and notebooks (in case technology fails). Runner ups: portable power bank and wi-fi hotspot.
In addition, pack a light but professional wardrobe, including comfortable shoes.
At the event itself
For the sake of efficiency, be intentional about who you meet up with, which expo booths you spend time at, and which talks you attend – ensuring they are the most relevant to your goals.
Don’t let conference fatigue kick in. Prioritise and pace yourself.
In terms of navigating the venue, it’s well worth checking out the floorplan and other basic info before the event.
How do you network?
We can’t stress this enough, but be intentional. This saves both you and others valuable time and energy. Know who you should connect with, whether it’s potential clients, developers, collaborators, or investors. Or are you simply there to promote your brand?
Identify the best networking opportunities unique to your circumstances. Do they tend to occur during casual coffee breaks and afterparties, or in the heat of the conference floor?
Of course, polishing your intro, including a concise presentation of who you are, what you do, and what you’re looking for, is crucial. But avoid sounding like a walking sales-pitch rehearsing the latest chatbot.
Know how to follow up effectively after the event. Be prompt, concise and suggest some action points. Aim to follow up at least 2 days after the event.
Discover the locale – Helsinki
If time allows, try to soak up some of the local culture. Helsinki is a stunning walkable (or runnable if that’s your thing) seaside city. Prepare your visit by looking into food recommendations near the conference venue, best transport solutions, and hotels if needed.
You can use the PG Connects hotel finder – especially good for group bookings.
A final point
Last but not least, it’s important to maintain your engine. Managing a busy schedule is one thing, but don’t forget to recharge and fuel in order to make the most of those new connections, valuable conversations and insightful talks.
We thoroughly look forward to seeing you in Helsinki on October 7-8. Register your Early Bird event ticket today – saving you €440 (£370).
